¨MESSAGE TAKING¨
Our Telephone assistants are trained to take the most complex messages. Most of our clients require that we obtain a significant amount of contact, personal health, and insurance information from each patient. Accuracy in gathering this information is stressed in our initial and on-going comprehensive training.
¨PAGING¨
We can page a number to call to a digital pager if that is your equipment choice. If you have an alpha numeric pager or a cell phone that is capable of receiving text messages we can send the entire message to you so that you can prioritize your responses.
¨PATCHING¨
If at any time you would prefer to have a caller patched directly to you, our modern telemessaging equipment allows us to accomplish this in a very cost-effective manner, thus reducing your costs.
¨FAX AND E-MAIL¨
If you desire to have a printed record of your messages you can elect to have them faxed or e-mailed to your office as they are taken or at predetermined times. This is a service that we provide to our clients at no additional charge.
¨APPOINTMENT TAKING¨
We have the capability of providing you with a web based appointment calendar that will allow us to take appointments for new or existing patients should they call after hours or whenever your phones are transferred to our service. The web based appointment calendar can be customized to meet your specific needs and requirements with the help of one of our customer service representatives.
¨MESSAGE RETENTION¨
·Audio Messages
All customer calls are recorded to ensure the highest levels of accuracy of the message taken. This information is also reviewed and graded regularly as part of our comprehensive training program. As our client, you will have access to your audio messages upon request for a period of 6 months from the date the message was taken by our service. This service is provided at no cost.
·Text Messages
We retain a text copy of all messages taken as well as on call information for a period of 8 years. As our client, you will have access upon request to your messages. This service is provided at no cost.
¨PRE-SCREENING ANNOUNCEMENT¨
The pre-screening announcement is customized on our voice mail sytem to provide the caller with information that will help determine what type of messages you would prefer be called into the office the next business day. If the caller must speak to someone immediately, our telephone assistants will take the call at the conclusion of the announcement. This can significantly reduce the number of non-emergency calls our associates would have to handle, thus reducing your costs.
